11 ICSHMO - Authors' information

Please note there will be a special information desk within the registration area dedicated to the scientific program queries. Should you need any assistance related to the scientific program, feel free to contact it. It will be open within the registration hours (08:30 -17:30) from Monday 5th to Thursday 8th.

When to display your poster?
Each poster will be displayed in one of the following poster sessions:

• Please review the Conference Program  to find the session in which your poster will be displayed (look for your name, abstract's ID or abstract's name).
• Your poster can be mounted from 09:00 AM during the day of your poster session.
• Your poster must be removed by 18:30 of the corresponding poster session. If not removed by the author, the poster will be removed and trashed by our staff.

 

Where to display your poster?
• All Poster Sessions will be held in the Hall Sur, on the 1st floor of the Main Building at FCFM (Conference Venue).
• Each poster board will be given a specific number. Please make sure to mount your poster on the poster board with the number corresponding to the number assigned to your poster presentation. The board number (1-70) of your poster is available in Conference Program.

 

Poster dimensions and other details
• The maximum dimensions of your poster should be less or equal than 90 cm wide and 120 cm high (portrait orientation).
• In order to fit the poster board, your poster should not exceed the recommended size. Prepare your material beforehand so that it will fit the space available and can be easily attached to the board.
• The organizers will provide suitable fixing materials, and onsite assistance will be available to help you to display your poster.
• Please recall that English is the official language of 11 ICSHMO.

 

 

Oral presentation guidelines

 

When/Where to present your talk?
• Please review the Conference Program to find the session in which your abstract will be displayed (look for your name, abstract's ID or abstract's name).
• Please find in the program the exact time (day, hour) and room of your presentation the Conference Program.
• Some sessions stand alone and will be held in Auditorio Gorbea (3rd floor of the Main Building at FCFM). Others sessions run in parallel, either at Auditorio Gorbea, or Rooms 19-21 (1st or 2nd floor of the Main Building at FCFM). Find out the location of these rooms in the Venue's Map

 

Format of your presentation
• Please make sure your presentation is in a commonly compatible format. Please prepare your presentation preferably using PowerPoint version 2010 or 2013 (although versions 2007 / 2003 are also supported).
• Presentation: PPT, PPTX, PDF
• Video: AVI, MPG, MKV, MOV, MP4, WMV
• Pictures: JPG, GIF, BMP, TIF
• Do not forget, when saving your final presentation to USB stick, to make sure to include your video files, if any, and all links to these multimedia files.
• All screens in 11 ICSHMO are 4:3 - prepare your presentation accordingly.

 

Uploading your presentation online prior to the event or onsite
• You must hand us your presentation in the SPEAKERS´ PREVIEW ROOM as much in advance as possible, no later than TWO hours BEFORE the beginning of the corresponding session.
• The Speakers's Preview Room will be open from 08:30 to 18:00, from Monday to Friday. It is located in the Hall Sur, 1st floor of the Main Building at FCFM.

 

In the lecture room
• Your presentation will be sent directly to the lecture room through the local network.
• All speakers are requested to be present in the lecture room 10 minutes before the session starts to meet with the session chair. Please, do not come at the last minute with your own computer into the lecture room: you won't be able to connect it.
• Time reserved for your presentation is 15 minutes including questions and discussion. We run on a very tight schedule, so we strongly recommend you to prepare a 10 minute presentation and allow 5 minute for discussion. The session chair will inform you when you cover the first 10 minutes.
• Once the presentation is launched on the computer in the respective lecture room, you will advance your own slideshow using the remote control.
• If any problems occur, there will be assistance staff in each lecture room.
